Business operations you must execute in your SME

Running a successful business requires a lot of repetitive tasks. These tasks are part of daily operations and are necessary to ensure that teams are aligned, finances are clear, and all customers are satisfied.

Founders of small to medium-sized enterprises (SMEs) face daily challenges and achieve maximum results with minimal resources. These challenges can be managed better by having a set routine that involves ensuring all elements of the operational side of the business are going well.

In this article, we look at what daily operations are, what they look like in different industries and which executions you should focus on every day.

What are Business Operations In an SME?

Business operations in an SME are the everyday tasks and activities a business carries out to create value, deliver products or services, and generate a profit. The activities can be optimised to generate sufficient revenues to cover expenses and earn a profit for the owners of the business. Employees help accomplish the business’ goals by performing certain functions such as marketing, accounting, manufacturing, etc.

Business Operations in Different Industries

The operations of a business vary across industries and sectors, and they are structured according to the requirements of the specific industries. Here are some of the operations in various industries.

1. Retail Industry

One of the goals of a retail business is to stock products that customers are looking for and at a price that customers are willing to pay. This means the business must maintain an efficient inventory system so it knows what is in stock at all times while reducing instances of dead stock.

In order to maximise revenues, the business should stock fast-moving items that customers are willing and happy to pay for. The business should also negotiate friendly credit terms with suppliers so that they can get the required products on credit to prevent stock-outs.

2. Service Industry

The business operations of a service business are divided into the front-end and back-end sides of the company. The management must ensure that the two divisions are running efficiently to prevent laxity on one side, which can hinder the achievement of the company’s objectives.

On the front end, the business should focus on streamlining the service delivery to customers to increase their satisfaction. It should also formulate a means of receiving feedback and complaints from customers to understand their expectations and improve service delivery.

On the back end, the management should employ the right people in each department.

3. Manufacturing Industry

Manufacturing businesses are involved in turning raw materials into physical products, which are then sold to consumers. One of the things that a manufacturing company can do to achieve efficiency is to source quality raw materials from credible suppliers. For perishable and edible products, the business should look into how raw materials are stored, processed, and shipped to consumers.

The business can also eliminate bottlenecks that increase processing times to save on time during manufacturing and shipping. If the company is struggling with shipping logistics, it can outsource shipping and concentrate on other areas of the business that it excels in.

4. Technology Industry

The key to streamlining operations of a tech company is hiring the right staff and training them on how to execute the tasks they have been assigned. This means that the company should put a hiring criterion in place that helps them hire the best candidates for the job. Also, the company should come up with an internal training and mentorship programme where senior staff work with junior staff to help them perfect their skills.

Another way of increasing efficiency is by collaborating on the different tools, such as apps, websites, and systems that the company uses. The company’s management should continually monitor internal and external processes to spot any glitches and address these issues quickly.

Daily Activities to Execute in Your SME

The following is a list of some of the daily tasks you must complete as an entrepreneur. These tasks will help you make the business stronger.

1. Understand Your Spending

Frequently reviewing your business finances and properly understanding all the metrics will help your SME thrive and survive. Staying on top of your operating expenses, in particular, is essential. Without clarity on what, how and when you spend, you will be hindered from making the best financial decisions for your business.

Categorising and understanding your expenses will help you to:

  • Identify potential areas of saving
  • Create and stick to a budget
  • Manage and optimise cash flow
  • Make the most of tax deductions
  • Benchmark your actual expenditure against financial objectives and expectations.

2. Check Your Online Presence

In this day and age, all businesses need some form of online presence to grow. Although you may still receive walk-ins or word-of-mouth referrals, if you don’t take advantage of the power of the Internet, you will ultimately miss out on enormous opportunities. Worse, your business could be getting a negative web presence, and you wouldn’t know.

You need to be proactive and consistent in your online engagement. This means not only setting up a website and social media pages but also providing regular updates, product announcements, promotions and more.

3. Evaluate Your Systems

Your business can’t run without systems across various departments like marketing, sales, operations, administration, cash flow and human resources. These are the processes or orders of ongoing tasks that allow your business to operate efficiently and effectively, even as internal and external circumstances change.

Quality systems enable your business to scale seamlessly while you maintain a sense of control. You need to take a few minutes of your day to evaluate your systems and look for ways to improve them. Could your system be more streamlined or better integrated? Are there any manual tasks that technology might be able to remove? This type of frequent system health check will ensure you are operating as efficiently and effectively as possible and pay dividends in the long run.

4. Focus on Customer Service

While your personal goals for the business are important, you must not lose sight of your customers. Good customer service is not only about fostering relationships by building rapport and being helpful, but it also means responding to and resolving any problems such as shipping, product or billing.

Use the following customer service ideas to improve.

  • Promote unique service offerings or special offers
  • Create loyalty programmes
  • Process refunds promptly
  • Accept all cards, provide a quick payment experience and set up secure online payment gateways
  • Recruit the right people and invest in training your customer service team. For example, staff should be prepared for how to deal with declined transactions.

Exceptional customer service helps your business to stand out from the competition. Not every business can offer the lowest prices, but you can aim to deliver the best overall experience.

Regardless of your motivations, make sure you don’t stray too far from the core objectives you set at the start of your business.
