How to hire seasonal staff safely

Seasonal staff are hired quickly, given access to stock and cash, and often not checked at all. That combination is why the busiest trading period is also when most small retailers lose money internally. Verification and basic controls take very little time and are the difference between extra capacity and an expensive lesson.

Four things to do before the season starts.

Verify who you are hiring

Confirm identity against the document, check the right to work in South Africa, and take references from the previous employer rather than only a contact number the candidate supplies.

Where someone will handle cash, stock or customer data, more thorough checks are reasonable and lawful, provided you have consent and a legitimate reason. Criminal record checks require the person’s consent and must be handled under data protection obligations overseen by the Information Regulator.

Employ them properly from day one

Temporary and seasonal staff have the same core rights as permanent employees: written particulars, correct pay, accurate time records, lawful deductions only and UIF registration, as set out by the Department of Employment and Labour.

Be explicit in writing that the contract is for a fixed term or a defined project, and why. A fixed-term arrangement without a genuine reason can create expectations of permanence.

Control what they can access

Separate who handles cash from who reconciles it, limit system access to what the role needs, and give each person their own login rather than a shared one, so activity can be attributed.

Remove access the day someone finishes. Forgotten accounts belonging to people who have left are a common and avoidable exposure.

Train before the rush, not during it
